PROCOVERSTOCK SUBMISSION GUIDE

This Submission Guide provides practical instructions and quality standards for Contributors uploading content to Procoverstock.
It forms part of the Contributor experience and should be read together with the Contributor Upload Agreement, RF License Agreement, and Terms of Use.
1. General Principles
- Contributors must submit only original content created by them.
- Contributors are responsible for ensuring that submitted content complies with all applicable intellectual property laws.
- Procoverstock operates a curated marketplace and reserves the right to review, accept, reject, or remove content at its discretion.
Failure to follow this guide may result in content rejection, warnings, temporary restrictions, or account review in accordance with applicable agreements.
2. Eligibility and Basic Rules
- Contributors must be at least 18 years old.
- Do not embed watermarks, website names, logos, or copyright notices in files.
- English language is preferred for titles, descriptions, keywords, and text elements.
3. Intellectual Property & Releases
Contributors confirm that:
- They own all rights to the submitted content.
- No third-party content is used unless properly licensed.
- Required releases are obtained and retained:
3.1 Releases
- Model Release – required for identifiable persons.
- Property Release – required for identifiable private property or registered trademarks where applicable.
Releases must be provided upon request.
4. Content Quality Standards
All submitted content must be suitable for professional commercial use.
4.1 Unacceptable Content
- Content already available on Procoverstock
- Violent, pornographic, or offensive material
- Sensitive or explicit content
- Personal data (names, IDs, phone numbers, addresses, license plates)
4.2 Common Rejection Reasons
- Technical defects (noise, artifacts, focus issues, color problems)
- Poor composition or overused effects
- Overly simplistic or single-element designs
- Use of outdated logos or trademarks
5. File Requirements
5.1 Production Files
- Formats: PSD, TIF, TIFF
- Size: 20MB – 300MB
- Layers must be unlocked, organized, and labelled in English
- Fonts must be editable and free for commercial use
5.2 Preview Files
- Format: JPG / JPEG
- Size: 100KB – 2MB
- Width: 1.2MP – 5MP (recommended 1280px)
- DPI: 72–96
- Color mode: RGB
- Profile: sRGB or Adobe RGB
- Metadata required: title, description, keywords
Production and preview files must be uploaded together.
6. File Naming Requirements (Critical)
All files are stored in a centralized secure repository with controlled access.
To avoid conflicts, file name uniqueness is mandatory.
6.1 Unique Identifier
Each file name must include a unique alphanumeric prefix (4–6 characters).
Examples:
- 5810AL_FileName1.tif and 5810AL_FileName1.jpeg
- AL5810_FileName2.psd and AL5810_FileName2.jpeg
Avoid special characters. Use only English letters and numbers.
6.2 Naming Workflow
- Select production files.
- Batch rename files using a unique prefix.
- Ensure preview JPEG files have identical names.
- Confirm consistency before upload.
We recommend using automated batch actions in Photoshop and/or file manager tools.
7. Metadata and Attribution
Titles, descriptions, and keywords must be provided in English.
Contributors may include additional keywords in another language, provided that:
total keyword count remains reasonable (recommended: up to 30–35)
keywords are accurate and relevant
Keyword spamming, duplication, or misleading metadata is prohibited.
8. SKU Usage (Optional)
Contributors may optionally assign their own SKU to products, including Cover Design Series, for internal tracking purposes.
SKU usage is optional and intended for advanced Contributors.
Each product or Series must have a unique SKU if used.
For bulk uploads, the SKU numbering range must be agreed in advance with Procoverstock Support.
Bulk upload instructions are provided upon request.
9. Submission Review and Account Status
Submitted content is reviewed prior to publication.
Repeated submission issues may result in warnings.
Continued non-compliance may lead to submission restrictions or account termination.
10. Updates to This Guide
Procoverstock may update this Submission Guide from time to time.
Continued use of the platform constitutes acceptance of the current version.
